Privacy notice
Last updated: 1 November 2026
This notice explains what happens to your details when you contact Kestrel by email or phone, how we use the details of people at businesses we email, and how Kestrel handles call details for the businesses that use its service. It isn't legal advice.
Who we are
Kestrel is run by Milo Marut, a sole trader trading as Kestrel, from 81c Streatham Hill, London, SW2 4UB. You can contact us at kestrelcall123@gmail.com or on +44 7490 764011.
People we contact first
We email people at heating and plumbing businesses to offer them Kestrel. We only email work addresses at limited companies.
- What we hold: your name, job role, work email, business name and business phone number.
- Where it came from: the business's own public website.
- Why, and our lawful basis: legitimate interests. Our interest is offering our service to businesses.
- How long we keep it: if you don't reply, we delete your details 6 months after we last contacted you.
Your right to object: you can object to marketing at any time. Reply STOP or email us and we'll stop and never contact you again.
If you object, we delete your details and keep only your email address on a do-not-contact list, so we never email you again.
What we collect when you contact us
When you email or call us, we get what you choose to send: usually your name, your business name, your phone number, your email address, a good time to call you back and anything else you put in your message.
You don't have to give us any of this. If you don't, we may not be able to reply.
Why we use it, and our lawful basis
We use these details to reply to you and, if you ask, to set up your 14 days free. Our lawful basis is legitimate interests (answering an enquiry you sent us) or, once you ask to start, steps taken at your request before entering a contract.
We don't sell your details.
Visitors to this website
This website is hosted by Cloudflare, which processes visitors' IP addresses to deliver and protect the site. Our lawful basis is legitimate interests in keeping the site running and secure. Cloudflare keeps this traffic data for at least 31 days, and we don't keep any logs ourselves. This website doesn't use cookies, analytics or tracking.
Who else holds data for us
We use these services, which hold data for us:
- Cloudflare: hosts this website and processes visitors' IP addresses.
- Google: Gmail (our email) and Google Sheets (our records).
- Twilio: calls and texts, for businesses that use Kestrel.
- Make: automation, for businesses that use Kestrel.
We don't share your details with anyone else unless the law requires it.
Transfers outside the UK
Google, Cloudflare and Twilio may process data in the US. All three are certified under the UK Extension to the EU-US Data Privacy Framework. Make processes data in the EU, which the UK recognises as having adequate protection. You can email us to ask for details of these safeguards.
How long we keep it
Enquiries that don't lead to a customer are deleted after 12 months. If you become a customer, we keep the records we need for accounts for as long as the law requires.
If you use Kestrel for your business
When Kestrel texts a person who called your business, you are the data controller for that caller's details and Kestrel acts as your data processor. We keep the phone number, call time, message text, replies and outcome, and nothing else. Call log rows are kept for 12 months and then deleted. The do-not-text list is kept for as long as the service runs, so opt-outs are always respected. Your call log is handed over if you leave. The terms are set out in a data processing agreement in your contract.
A line you can use on your own privacy page: "If you call us and we miss your call, we may send you one text message from our business mobile number so you can tell us what you need. We keep a record of the call and any replies for up to 12 months. Reply STOP at any time to stop texts."
Your rights
You can ask us for a copy of your details, ask us to correct or delete them, object to how we use them, ask us to restrict their use, or ask for your details in a format you can take to another service (data portability). Email kestrelcall123@gmail.com and we'll deal with your request.
If you're unhappy with how we've handled your details, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint.
